Scottish Universities Folk Festival, known as SUFF in the following privacy information policy, want to be clear with you about the information we collect from you, how we use it and how we secure it.
We collect information from you when you interact with us through email, social media or our website. We use this information to assist us in planning our event, marketing and to help us communicate with our attendees and supporters; we also use the data to compile statistics which assist us in organisational and operational tasks, such as funding applications.
As SUFF works with host societies at different Scottish Universities in order to hold its festivals, we may share your information with the host society in order to assist with the planning and marketing of a SUFF event. We or they may also work with third parties such as artists, agents, venues, sponsors and ticketing agents (hereby known as Event Partners) and may share your information with them in order to assist with the planning and marketing of the event.
What Information do we hold about you and how do we use it?
- Your contact information. We will hold contact information you provide to us (e.g. name, email, university attending) when you subscribe to our email newsletter and/or participate in our promotions.
- Information you post online. For example, we may hold information you post on our website or on a third-party site to which we have access, such as reviews. You understand that we and others (including host societies and our Event Partners) may use and re-publish any data you post online publicly, on our website or when using apps or social media tools.
- In relation to emails we send you, we may collect information on how you respond to such emails, for example, the number of times the email is opened or the links in them are clicked.

How long do we keep your information?
We will keep your personal information only as long as necessary to provide you with information about SUFF and for legitimate and essential operational purposes, such as making data-driven planning decisions about new events or marketing strategies.
What if you don’t want us to use your information?
If you request, we will delete or anonymise your personal information so that it no longer identifies you. This is the case unless we are legally allowed or required to maintain certain personal data, such as if there is an unresolved dispute in which case we will retain the necessary personal data until the issue is resolved.
You can request to opt out at any time by emailing email@example.com. You can also update your email subscription preferences or information you have submitted via MailChimp by following the link at the bottom of any of your newsletter emails.
You understand that by opting out it means you will not receive any further information on SUFF and may miss out on important information regarding our events.
Updates to policy
We may occasionally make changes to this policy. When we make material changes to this policy we’ll notify you as appropriate under the circumstances, usually by sending you an email. We may notify you in advance. We recommend you read any notice of changes to this policy carefully.
